OCU Integrum are seeking highly professional Office Manager to join their team in Stockport.
The Office Manager, you will play a central role in ensuring the efficient day-to-day operation of the office and supporting the overall administration of the business. You will be responsible for coordinating office functions, managing administrative processes, and fostering a supportive work environment that enables us to achieve our goals effectively.
Duties and Responsibilities
Operational Efficiency:
• Ensure the smooth running of the office environment, including managing office supplies, equipment, and facilities.
• Oversee -to-day administrative processes, including parcel management, access control, and record-keeping.
• Manage relationships with external suppliers and service providers (e.g., utilities, cleaning, building management).
• Develop and maintain office workflows and processes supporting their wider adoption in the business.
• Support logistical arrangements for visitors, clients, and partners.
Training Administration:
• Support the business activities in relation to NSAR by managing and maintaining operational compliance.
• Be the primary point of contact for managing the Sentinel system on behalf of IPE and help ensure that it is used effectively.
• Monitor the expiration dates of employees' competencies and ensure that relevant training is scheduled and attended accordingly.
• Support the creation and management of the paper documentation ensuring the security of personal data.
Staff Management and Support:
• Supervise and support administrative staff, ensuring high levels of performance and morale.
• Manage travel bookings, including flights, accommodation and itineraries.
• Act as the main point of contact for staff regarding office-related issues.
• Coordinate training, PPE, and onboarding activities for employees.
• Organise staff events, team-building activities, and wellness initiatives.
• Work closely with other members of the OCU Group to develop relationships and improve shared ways of working.
Finance and Budgeting:
• Understand and operate within office budget and identify cost-saving opportunities.
• Support the business with accurate and timely invoicing, and purchase orders.
Facilities and Maintenance:
• Ensure the office is a safe and well-maintained workspace, complying with health and safety regulations.
• Coordinate repairs, maintenance, and improvements to office premises.
• Manage office space planning and desk allocations to meet team needs.
Compliance and Governance:
• Ensure compliance with GDPR and other relevant UK regulations.
• Maintain accurate employee records and ensure confidentiality.
• Act as the Fire Warden or First Aider where required and ensure compliance with workplace health and safety laws.
